Privacy Policy

The short version: you don’t need to sign up. There are no ads, no analytics and no tracking. We never sell your data. We keep your games so you don’t lose them, and send the notifications you ask for, and that’s all.

Who we are

Kalooki Crew is made by Ackee & Software Limited (“we” or “us”). We’re responsible for the information described here. For any privacy question, email support@ackeeandsoftware.com.

No sign-up needed

The first time you open the app, it quietly creates an anonymous account. That’s a random ID with no name, email or other details attached. It’s what lets the app save your games from the very first one.

If you choose to sign in with email, we send a 6-digit code to your inbox. There’s no password. Your email address is then linked to your account, so you can get your games back on a new phone. The games you’ve already played come with you.

You can also sign in with Apple or Google. They confirm who you are and share your email address with us. With Apple you can hide it, and Apple gives us a private relay address instead. We don’t get your password or anything else from your Apple or Google account. Signing in with the same email address any of these ways opens the same account.

What you put in the app

To keep score, the app stores what you enter:

  • the names of the people you play with, and each player’s colour
  • the names of your crews (the groups you play with) and of your games
  • every round’s scores, penalties and bonuses
  • your house rules
  • the dates your games were played

If you email us, we also receive your email address and what you write, and we use them only to reply.

We don’t ask for your phone number, contacts or location. The app uses the camera or your photos only if you choose to add a picture of yourself, and the microphone only when you tap it to say the scores.

Your photo

Once you’ve signed in, you can add a photo of yourself as your avatar. The app makes it small and keeps it with your account. Only people who share a table with you can see it: the person who keeps score where you play, and the others there who’ve joined. You can change or remove it at any time, and deleting your account deletes it. Nobody can add a photo of someone else.

Saying the scores

You can say a round’s scores instead of tapping them in. The app listens only after you tap the microphone, and stops once it has heard you. Your phone’s own speech recognition turns what you say into text. Depending on your phone and its settings, that happens on the phone itself or through Apple’s or Google’s speech service, under their privacy policies.

The app picks the names and numbers out of that text and shows them for you to check. We never receive the recording or the text. Only the scores you save are kept, like any others.

Notifications and live scores

If you’ve signed in and joined someone else’s table, you can let the app tell you when a game you’re in there starts, is paused, picks back up or ends. When you allow notifications, the app registers your phone with your account: it stores your phone’s push token (an address for your phone, issued by Apple or Google) and whether it’s an iPhone or Android phone. On an iPhone it also stores a second token that lets a game’s live score appear on your lock screen.

A notification says who started the game and its name, and at the end where you finished and your total. A live score card shows the game’s name, the round, the contract, who deals, and every player’s name and total. It updates after each round and closes when the game ends or is paused. So the people at your table may see your name, and the scorekeeper’s, in their notifications and on their lock screens.

Choose which ones you get in Settings › Notifications, and turn notifications or Live Activities off in your phone’s Settings at any time. Signing out on a phone, or deleting your account, removes that phone’s tokens. We also remove a token when Apple or Google tell us the app is no longer on that phone. To make sure nothing is sent twice, we keep a note of which game’s news has gone out, without any names or scores.

When you keep score on an iPhone, the app also shows the game on your own lock screen. That card is made on your phone.

The people you play with

The people in your games may never use Kalooki Crew. The app only asks for a display name and a colour for each of them. It never asks for their email address or phone number. A first name or nickname is all it needs.

Only your account can see them, unless you invite one of them. If you do and they accept, they can see the games they played in on their own phone: everyone’s names and scores in those games, but nothing else of yours, and they can’t change anything. Either of you can undo that at any time.

If someone would rather not be in your games, you can rename them or remove them. Removing a player takes them off your lists, but past games keep their name so the scores still add up. If someone wants their name taken out of past games too, email us and we’ll help.

How we use your information

We use your information only to run Kalooki Crew for you: to save your games, show your scores and stats, back them up, restore them when you sign in on another phone, and send the notifications and live scores you’ve turned on. We use your email address only to send sign-in codes and to answer you if you write to us. We don’t send newsletters or marketing.

If you’re in the UK or Europe, the GDPR and UK GDPR ask us to name our legal basis. It’s that we need this information to provide the service you asked for. If the law ever requires us to keep or hand over something, the basis is that legal obligation.

Where it’s stored, and who helps us

Your account and games are stored online with Supabase, which runs our database and sign-in. The database checks every request, so only the account that created a game, player or crew can change it, and only that account and the players it has invited can see it. Data travels between your phone and our servers encrypted.

Three providers run parts of the service for us. They handle only what’s described here, on our behalf, and may not use it for their own purposes:

  • Supabase stores your account, your email address if you sign in, and your games. Like any online service, it also keeps short-lived technical records, such as when a request was made and the internet address it came from.
  • Resend delivers the email with your sign-in code. It sees your email address and that message.
  • Expo passes notifications on to your phone. It sees your phone’s push token and each notification’s words.

Notifications reach your phone through Apple’s push service on an iPhone, or Google’s Firebase Cloud Messaging on Android, as every app’s notifications do. Live score cards are for iPhone only, and we send them straight to Apple’s push service.

Kalooki Crew is run from Jamaica, and our providers process data in the regions where they operate, which may include the United States, the UK and the European Union. Using the app means your information may be stored and processed there. Where the law requires it, we rely on the safeguards our providers offer, such as standard contractual clauses.

We may disclose information if the law requires it, or to protect the rights, property or safety of ourselves or others.

On your phone

The app also keeps some things in its own storage on your phone:

  • a copy of your games, so screens open quickly
  • scores that haven’t reached our servers yet, for example while you’re out of signal
  • your settings: how you like to enter scores, your default game length and your house rules
  • if you’ve allowed notifications, your phone’s push token
  • your sign-in session, encrypted, with its key in your phone’s secure storage

Deleting the app removes all of this from your phone, including any scores that hadn’t been sent yet.

What we don’t do

There are no ads, no analytics and no tracking. The app has no third-party trackers, doesn’t follow you across other apps or websites, and never asks for permission to track you. We don’t sell, rent or trade your data, and we don’t share it with advertisers.

There’s no crash reporting today. If we add it, we’ll update this policy first and say what it collects.

Sharing results and exporting

After a game, the app can draw a picture of the result. It’s made on your phone and leaves it only if you choose to share it, through your phone’s share sheet, with the apps and people you pick. Anyone you send it to will see what’s on it, such as players’ names and scores.

Settings › Export my games makes a spreadsheet (a CSV file) of every game and hands it to the share sheet in the same way. Where it goes is up to you.

How long we keep it, and deleting it

We keep your account and games for as long as you have an account.

When you delete a game or remove a player, it disappears from the app straight away. Its record stays on our servers, hidden, until you delete your account.

Settings › Delete account permanently deletes your account and all its games, players and crews from our servers, so people who joined your table lose those games too. You can do this whether or not you’ve signed in. It can’t be undone. The app then starts again with a new, empty anonymous account. Copies in our hosting provider’s routine backups are removed as those backups expire.

Deleting the app doesn’t delete your account. If you’ve signed in, your games are waiting when you sign in again. If you never signed in, nobody can get back to that account, so use Delete account first if you want it removed from our servers.

Your rights

Wherever you live, you can see, correct, export and delete your data from inside the app. You can change any name or score, use Export my games for a copy, and use Delete account to erase everything.

If you’re in the UK or Europe, the GDPR and UK GDPR also give you the right to:

  • get a copy of the information we hold about you
  • have it corrected
  • have it deleted
  • take it with you to use elsewhere
  • restrict or object to how we use it
  • complain to your data protection authority (in the UK, the Information Commissioner’s Office)

People in California and some other US states have similar rights. To use any of them, email support@ackeeandsoftware.com.

Children

Kalooki Crew is for adults and families. It isn’t directed at children under 13, and we don’t knowingly collect personal information from them. A child may be added as a player to a family game by the adult keeping score; their name is then part of that adult’s account. If you believe a child has signed in or sent us their details, contact us and we’ll delete them.

Changes to this policy

If we change this policy, we’ll update it here and change the date at the top. If we add something new, such as crash reporting or another way to sign in, we’ll update the policy before it starts.
